Each of these service providers is contractually required to protect your information and use it only for the services they provide to us.

As a business associate of the Medicare and health insurance plans we represent, we are subject to the Health Insurance Portability and Accountability Act (HIPAA). 8. CALL RECORDING

Federal Medicare rules require that all sales, marketing, and enrollment calls with Medicare beneficiaries be recorded in their entirety, including the audio portion of calls conducted via web-based technology such as Google Meet. By scheduling and participating in a consultation call, you consent to the recording of that call.

Call recordings are maintained for compliance purposes for a minimum period required by applicable regulations. Recordings may be reviewed by plan sponsors or CMS as part of compliance oversight.

9. DATA RETENTION

We retain your personal information for the following periods:

  • Scope of Appointment forms — minimum 10 years as required by Medicare rules

  • Call recordings — minimum period required by CMS and applicable carrier requirements

  • Enrollment records — as required by applicable state and federal regulations

  • General contact and consultation information — as long as necessary to provide services and as required by law

  • Website analytics data — as configured in Google Analytics and GHL settings

When information is no longer needed, and retention is not required by law, we will securely delete or destroy it.
